ACL Staff Meeting, Wednesday, July 26th

SPP Orientation Date 8/26/006

Hi all-
as you may know each semester SPP holds their new student orientation on the weekend before the start of school. As you probably also know, the library is typically closed on that day but opens for a couple of hours in order to assist them.

We now have the date for the upcoming SPP Fall Semester orientation--Saturday 8/26/06 from 12:30-2:00 pm . I will most likely be looking for volunteers to help out on that day.

Mileage Reports due Wednesday May 31st

All mileage from 2005-06 needs to be submitted for reimbursement by June 2nd. If you would like to be reimbursed for your mileage (through May) please submit your report to Page, by May 31st so that she can turn it in for reimbursement.

At this point, we expect that mileage accumulated during June'06 will be reimbursed out of the forthcoming 2006-07 budget.

Global and Educational Programs - Fairfax

Equipment Manuals

All of the equipment manuals are now located in the bottom drawer of the administrative file cabinet at the circulation desk. This includes manuals for the microfiche readers, media equipment, etc. So if you need help with operating any of our equipment you can find a manual in one central location now.

Supplies

The emergency preparedness supplies have been moved from the staff lounge to the storage room behind the reference staff office. The supplies include buckets, mops, plastic sheeting, etc. If anyone does not know where the storage room behind the reference staff office is please let me know and I will be glad to show you.

There is an emergency preparedness manual in each staff office and at each service desk. Please familiarize yourself with the procedures and order of authority (people to contact in case of an emergency). The order of authority is updated as people leave ACL and/or the Arlington Campus. Currently the order in which people are contacted are (1)Page, (2)Nancy, (3)Marissa, (4)Lee.

Technology supplies, including software, manuals and peripherals are now located in the tall lateral file cabinet in the staff lounge. This cabinet will be kept locked and the key will be available at the circ desk along with the key to the xerox paper supply room and the assistive technology room.

I just wanted to thank everyone for their kind wishes and the lovely party and gift.

I've really learned a lot working at the Arlington Campus Library, and I'm going to miss you guys! I've given Page my email address, so please feel free to ask her for it and keep in touch. VCE Deliveries, Faxes, Etc.

Hello all!

For some reason, VCE has me as the "Ship to" person on all of their paperwork; so, I've been mostly receiving other people's bills via fax. However, today, they actually shipped someone's chair to me!

I've put in a call to VCE to try to remedy this; however, in the meantime, please check faxes, invoices, etc. to see if a fax or piece of furniture is really for the library. If not, please route to the appropriate department.

When the message "Catalog Review" appears after checking in an item at the circulation desk, please send that item to Friedgard Cowan at Fenwick. Friedgard handles item maintenance tasks such as this for ACL. This item status is a result of inactivity. The item has not circulated in quite some time and has actually been removed from the catalog. Friedgard reinstates the item for us.

Tip #2
Item Requests (rush cataloging an item that is at Fenwick) is available to GMU staff, faculty and students only. We do not provide this service for Consoritum patrons at this time.

Show and Tell

No, we are not going to bring in our pet frogs or lastest robotic invention...but we are going to share and demonstrate some tidbits of information relating to our work here at ACL at our next staff meeting scheduled for Thursday, February 16th from 2:00 to 4:00pm.

For example Lee has agreed to explain and show some of the work he has done with SPP and WebCT. Yeah! All of us in library school are eagerly anticipating that. Technology is the way of the future afterall...in libraries and education.

I on the other hand will be demonstrating a few nifty circ moves such as setting up a proxy agreement for a faculty members graduate research assistant.

Page is in accordance with this theme and if everyone plans on sharing for no more than 15 minutes we will keep the meeting moving as well as learning something new. All administrative information such as meeting notes etc. should be listed on the agenda for review and questions can be asked at the end of the meeting. The agenda for February is now available on the shared drive. Thank you!

Hey everyone, just thought I would mention that James Lobo our former student employee stopped by last week before Thanksgiving. He is doing well, working at the World Bank as a debt underwriter. He will be flying home to India for the first time in three years to see his parents for Christmas. His sister is pursuing a computer science degree at Mason now and his brother is still living in D.C. They will all be flying home together (20+ hour flight). James thinks he will probably return to India once he has finished his internship at the World Bank. He said to say hi to everyone. I told him about the holiday potluck. That's all folks!

Dehumidifiers have been turned off

I turned off the dehumidifiers today, our humidity has dropped to 15%, it should stay between 40 and 60% according to best practices in climate control in libraries. Our tracking device is 10% off, I believe that Nancy is ordering us a new one, but in the meantime, if you see 25% on the device that really means that its 15% humidity in here.

Walking Path to Washington Boulevard Closing

For the benefit of our part-time staff:

Beginning this Friday, October 21st, access will be unavailable on the sidewalk path from the coutyard of the Original Building and FDIC to Washington Boulevard.

A fence will be put up to block the area between the courtyard and Washington Boulevard. Clark Construction will be working with Washington Gas to move the gas line and will be building an emergency ramp around the Foundation Building. This part of the project will take at least eight months to complete. During this time, alternate access to Washington Boulevard from the courtyard between FDIC and the Original Building can be obtained by walking from Fairfax Drive to Monroe Street or to Kirkwood.

News from the Giant Panda Habitat

This morning at about 8:40 a.m., National Zoo Director John Berry announced the name of the giant panda cub to great fanfare. Tai Shan, which means "peaceful mountain" in Chinese, was the clear favorite among the more than 200,000 votes received in the naming contest. Congratulations to Tai Shan, now 100 days old, on his most fitting name!

New Security Gates this Friday (10/14)

Thanks to Nancy we have a scheduled installation date for the new 3M Security Gates that arrived last week. Nancy has arranged for the people from 3M to come out on Friday to put the gates into operations. As the installation process is expected to take a few hours, my understanding is that we will be using the parking-lot side/emergency doors of the library as a temporary entrance, until it is complete.

Just an FYI-- In addition to the information on pay-for-print from laptops, I added a question to the FAQ with the phone numbers Nancy gave us to call for technical problems with the printers and copying machines. I also edited question #8 to include the Mason Money Office's phone number.

Thanks to Brandon, we now have a set of instructions to give to students who want to send print jobs from their laptops! Students will have to install the Pharos Pay-for-Print software, which Brandon copied onto a CD. Both the instructions and the CD are located at the Ref Desk in the white binder marked ACL Reference Desk Help Manual. I've added a question to the FAQ for this.

Security Gate Update

Deliveries to the Library This Week

New Student Employee

Good News and Sad News

Ok, good news always goes first...
Keith has accepted a part time position with a law firm in the area as a result of his recent interviews for a summer internship. This is great news for Keith and we congratulate him on this achievement in his new career!

The position is 20 hours a week however, which brings me to the sad news : (
Keith will have to bid adieu to ACL as a student employee.
He has however promised to stay in touch and it is with much reservation that he says goodbye.

Keith's last day will be next Monday, September 26th.

New Search Engine from Italy

Trovando is a new search engine from Italy that allows you to enter your search terms once, then compare results from all the major search engines by switching from one to the other. Better than that, you can customize it to add over 3000 search engines to the available list! This is informative in showing how little overlap there can be between different search engines. It can also speed up your web searches considerably!

Some fun aspects of Trovando:
1) Click "4 big" to have the results from the top search engines all open simultaneously in 4 frames on your browser
2) Click the "Reference" tab to get quick access to web-based dictionaries and encyclopedias
3) Personalize the search window by changing the colors
4) Search to find blogs on a topic of interest to you

Personnel Updates

It is my pleasure to announce that our very own Dwayne has accepted the position of Document Delivery Coordinator here at ACL. He will officially assume this role and title on September 9th and is serving as the interim coordinator in well...the interim. Congratulations Dwayne!

I am also pleased to announce that we have a new student employee! Her name is Pratyasha and she is from Nepal. Home of Mount Everest! Pratyasha is beginning a masters program in Public Policy this fall here at the Arlington Campus. She has completed a B.A. in Communications with a concentration in International Studies. Welcome Pratyasha!

This seems like a good time to also extend a BIG thank you to Brandon our new GRA for his contributions to both the circulation and reference departments as we transition into the fall semester.

The Arlington Campus "Fabulous" Orientation will be on August 31st. Please remember to sign up via email for one of the positions we'll need to fill during the event. The event runs from 3pm-6pm, and we'll need *everyone* to pitch in so that we can accommodate the large number of students that will be on campus.

Ref Desk Help Manual

A help manual is now available at the Reference Desk. It currently contains the draft of the FAQ and some database help documents we've received from vendors. The database help documents can be given to patrons to refer to in their plastic sleeves. If they aren't returned, there is a section in the back of the manual with the originals for making copies.

It is a work in progress; but, will hopefully be helpful to both circ and ref staff.

Travel Request Reminder

Don't forget! Travel requests are due by the 1st of August. Ask someone if you need the form, or need help filling it out. Remember, these just have to be your best estimates--there may be funds left for requests that you make later in the year.

July Staff Meeting Reminder

University Libraries Picnic

Much fun was had by members of our staff who were able to attend the University Libraries picnic. It was a beautiful day, and the food was great!

New Process for Rush Cataloging

The form that we have been using for Item Requests and rush cataloging is being retired. From now on, when a patron wants an item rushed, please follow these steps:

1) Print the Item Record from the catalog.
2) On the print-out, write the patron's Name, G-Number, and E-mail address.
3) Indicated the Pick-up Location for the item.
4) Fax the print-out to cataloging.

The Fax number for cataloging is taped to the side of the fax machine for easy reference.

Note: Missing Items should be reported to the Circ staff.

Templates for memos and letters bearing the new Mason logo letterhead are now available on the shared drive. These should be used for formal correspondance.

Copier Server- Out of Order

UPDATE:
The copier server is back up and running, and Mason Money can once again be used on the photocopiers.

The network which links the copiers to the Mason Money system is currently inoperable. The copiers will still accept hard currency.
I have contacted Print Services at Fairfax and they report that it is a GMU network problem and can not give an estimate of how long this problem will take to fix.

Europe vs. Google

The European community is fighting back against Google's plan to digitalize only resources from American Libraries. The result, they claim, would be to push American resources into everyone's homes while European research remained lost in print....

Domestic $3.00 a page
International $6.00 a page

Incoming Faxes:
50 cents a page
